Privacy Policy

This Privacy Policy explains how the operator of SpeakCharm ("SpeakCharm," "we," "us," or "our") collects, uses, shares, stores, and protects personal information when you use the SpeakCharm mobile application, website, and related services (the "Service").
1. Who we are and how to contact us
SpeakCharm is the service operator and personal information controller responsible for the processing described in this Policy. For privacy questions, requests, or complaints, contact [email protected]. For general product support, contact [email protected].
This Policy applies to the SpeakCharm Service. An app store, identity provider, or linked third-party service may process information under its own privacy policy when you use that provider.
2. Information we collect
- Account and authentication data: email address, display name, password hash, email-verification status, authentication tokens, and—if you choose Google or Apple sign-in—the provider, provider account identifier, email address supplied by that provider, and any display name you elect to share.
- Profile and preference data: communication level, learning goal, selected language, weekly Learn and AI Practice goals, and other settings you choose.
- Learn activity: lessons shown, answers, whether an answer was correct, lesson version, completion time, progress, XP, streak, review count, mastery, and performance summaries.
- AI Practice data: selected or custom scenario, roles, difficulty, message content, conversation transcript, session dates and status, scores, feedback dimensions, strengths, improvement areas, evidence excerpts, suggested next steps, improved responses, and your usefulness rating or note.
- AI memory data: whether memory is enabled; goals or preferences you add; and inferred strengths, improvement patterns, summaries, supporting excerpts, skill trends, confidence indicators, and source session references created from completed Practice sessions.
- Feedback and support data: feedback category and message, submission time, resolution status, and communications you send to us. Authorized support staff may add internal handling notes that are not shown in your user-facing feedback history.
- Subscription data: plan, app-store provider, product identifier, transaction or purchase-verification token, subscription status, expiration or renewal date, cancellation state, and store environment. Apple or Google processes payment-card and billing details; SpeakCharm does not receive your full payment-card number.
- Technical and security data: request timestamps, network and server logs, IP address or similar request metadata when recorded by our infrastructure, app or browser version, error information, and security events needed to authenticate requests, prevent abuse, and keep the Service reliable.
3. How we collect information
We receive information directly from you when you register, update your profile or goals, complete Learn content, take part in AI Practice, manage AI memory, subscribe, or send feedback. We also receive limited account or purchase information from Apple and Google when you use their sign-in or store services. Our systems automatically create progress, coaching, subscription, and necessary technical records as you use the Service.
4. Why we use information and our legal bases
- To create and secure your account, provide requested Learn and AI Practice features, save history and progress, verify subscriptions, and provide support—because this processing is necessary to perform our agreement with you.
- To generate roleplay responses, coaching feedback, performance insights, and, when enabled, personalized AI memory—based on your request and, where required, your consent.
- To prevent fraud and abuse, protect accounts, debug failures, maintain availability, understand aggregate service performance, and improve feature quality—based on our legitimate interests where that basis is available and does not override your rights.
- To comply with tax, accounting, consumer-protection, legal-process, and app-store obligations, and to establish or defend legal claims—where required by law.
- Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing already lawfully completed.
5. AI processing and automated feedback
When you use AI Practice, we send the scenario, roles, your messages, relevant conversation history, and any selected relevant memory context to an AI model provider so it can generate the roleplay response or feedback you requested. Completed-session summaries may also be converted into numerical embeddings so SpeakCharm can retrieve relevant memories for later sessions when AI memory is enabled.
AI scores, feedback, inferred memories, and recommendations are automated estimates. They are used only for learning and personalization and are not used to make legal, employment, credit, insurance, medical, or similarly significant decisions about you. Do not include confidential, highly sensitive, or third-party personal information in Practice messages unless it is necessary and you have authority to provide it.
6. When we share information
We do not sell personal information, share it for cross-context behavioral advertising, or use third-party advertising networks. We disclose only what is reasonably necessary to the following recipients:
- AI model and embedding providers, to produce Practice conversations, feedback, and memory retrieval features.
- Cloud hosting, database, object-storage, cache, networking, and security providers, to operate and protect the Service.
- Email-delivery providers, to send verification, sign-in, password-reset, and support messages.
- Apple and Google, when you choose their sign-in or subscription services and when we verify or synchronize purchases.
- Professional advisers, authorities, or other parties when reasonably necessary to comply with law, protect rights or safety, investigate misuse, or complete a merger, financing, acquisition, or sale of assets. If ownership changes, the recipient must use the information consistently with this Policy unless you are given legally required notice or choice.
7. Service-provider safeguards
Service providers process information for the contracted purpose and are required by contract, applicable law, or platform rules to provide appropriate confidentiality, security, and data-protection safeguards. They may not use SpeakCharm user data for their own advertising. You may request current information about relevant provider categories by contacting [email protected].
8. AI memory and your controls
AI memory can save explicit goals or preferences and infer recurring strengths or improvement areas from Practice feedback. In the app, you can review individual memories, edit or delete explicit memories, delete all memories, and turn memory off. Turning memory off prevents memory from being retrieved for personalization and stops new Practice memories from being created; it does not by itself erase existing memories, which you may delete separately.
9. Retention and deletion
- Account, profile, Learn, Practice, AI memory, feedback, and subscription records are generally retained while your account remains active so we can provide the Service and your history.
- Verification and password-reset codes are retained only through their validity and operational cleanup periods; authentication sessions are retained until they expire or are revoked. Anti-abuse send-limit records are kept for a limited security window.
- You may delete individual Practice sessions and AI memories in the app. You may delete your account from Profile > Settings > Delete account. You may also request deletion by emailing [email protected] from the address associated with your account.
- Account deletion removes the account and associated Learn, Practice, AI memory, feedback, authentication, and subscription records from our active database. Limited records may be retained only when necessary for legal obligations, fraud prevention, dispute resolution, security, or backup integrity, and are isolated from ordinary product use until deleted or irreversibly de-identified under the applicable retention schedule.
10. International processing
SpeakCharm and its providers may process information in countries or regions other than where you live. Those locations may have different data-protection laws. Where required, we use recognized transfer safeguards and take measures intended to ensure an appropriate level of protection. If local law requires separate notice, consent, a standard contract, security assessment, certification, or local storage before a cross-border transfer, we will complete that requirement before the relevant transfer.
11. Security
We use administrative, technical, and organizational safeguards designed for the nature of the data, including encrypted network transport, hashed passwords and tokens, access controls, scoped administrative access, logging, and account deletion controls. No method of storage or transmission is completely secure, so we cannot guarantee absolute security. If we discover a qualifying personal-data breach, we will notify affected people and authorities as required by law.
12. Your privacy rights
Depending on where you live, you may have rights to know about and access your information; receive a copy; correct, supplement, or delete it; withdraw consent; object to or restrict processing; request portability; and appeal a refusal. You may also have the right to complain to a data-protection authority. We will not discriminate against you for exercising a privacy right.
Use the in-app controls where available or email [email protected]. We may verify your identity and authority before acting, and may retain information needed to document the request. Authorized agents may submit requests where local law permits. We will respond within the period required by applicable law.
13. United States state privacy notice
The categories described in Section 2 are the categories we have collected for the stated business purposes and disclosed to the provider categories described in Section 6. SpeakCharm does not sell personal information or share it for cross-context behavioral advertising, and we have not done so in the preceding 12 months. We do not knowingly sell or share the personal information of consumers under 16. Where applicable, residents may exercise rights to know, access, correct, delete, and obtain a portable copy, and may appeal a decision by contacting [email protected].
14. Children
SpeakCharm is not directed to children under 16 and they may not create an account. If the law where you live sets a higher minimum age for independent consent, you must meet that age or use the Service only with valid authorization from a parent or guardian where the Service expressly permits it. If we learn that we collected a child's information contrary to this section, we will delete it. Contact [email protected] if you believe this has occurred.
15. Policy changes and complaints
We may update this Policy when the Service or legal requirements change. We will post the revised Policy, update the effective date, and provide additional in-app or other notice when a change materially affects your rights or when law requires it. Questions and complaints may be sent to [email protected]. You may also complain to the privacy or data-protection authority where you live.
